By Invitation Only

Yatra Registration

One form per person — please read every instruction carefully before you begin.

Before you register — a few humble requests
  1. Please watch the welcome video by His Grace Vaiśeṣika Dāsa before registering — it explains the mood and purpose of the Yatra.
  2. One form per person. Please submit a separate form for each member of your party. After each submission, you can register the next person with shared details pre-filled. Forms that combine multiple people will not be considered.
  3. Both phases, shared rooms. To keep the Yatra a shared journey from start to finish, all pilgrims are required to join both phases, and rooms are shared among devotees.
  4. Successful registration is not confirmation. Submitting this form expresses your sincere desire to join, but it does not guarantee a place. Our Yatra coordinators will carefully review each application and inform you whether your spot is confirmed, waitlisted, or not possible this time.
  5. Please do not forward this form. Participation in the Yatra is by invitation only.

A message from His Grace Vaiśeṣika Dāsa

Please watch this before you register — it explains the mood and purpose of the Yatra, and why you should come. Watching it first will help you fill the registration form thoughtfully and avoid delays in processing.

Invitation Token *

Enter the invitation token you received with your invitation. Your registration cannot be submitted without a valid token.

1.Email Address *

Use the email address your invitation was sent to — your token only works with it. Please make sure it is a valid address that you check regularly: if it is not valid, you will miss the yatra communications.

2.Did you carefully read the instructions given at the beginning of this form? If not, then it is a good idea to read it first before you proceed to the registration (to avoid delays in processing your application and the risk of being pushed to the end of the queue). This helps us group the various requests for members of the same family.

Please double-check that it is a valid address — if it is not, this participant will not receive any yatra communications.

12.Full Legal Name of the Yatra Participant EXACTLY as it appears on your passport or Adhaar Card. *

This is required for all. We use this to book the hotel room for you. This name will be matched by the Hotel Authority when you arrive at the hotel and present your proof of identity to them which would be your Adhaar Card for Indian Citizens and passport for all others.

MEDICAL INFORMATION

This information will come in handy and will be used ONLY in the case of a medical emergency. You may chose to Opt-out, but it is not advisable/recommended. Please note that the Yatra is not responsible for taking care in the case you have any medical conditions. You should bring your own medicines, and if you need someone to take care of you, then please have them register for the Yatra as well.

Medical Information & Your Privacy.

Why we ask: Your well-being during the Yatra is our heartfelt concern. We ask for a few health details only so that, if you need help while travelling with us in Kolkata and Mayapur, our coordinators can care for you quickly and appropriately.

What we ask for: Allergies (food, medicine or other), ongoing medical conditions we should be aware of, medicines you are allergic to, whether a doctor’s approval is needed for you to travel, insurance details, and an emergency contact person. Please share only what you feel is important for your safety — you do not need to give a full medical history.

Who can see it: Your medical information will be seen only by the designated Yatra coordinators who manage registrations and on-ground care. It will not be shared with other participants, posted in group chats, or used for any other purpose. If a medical emergency happens, we may share relevant details with doctors, hospitals or emergency services to help you.

Where it is stored: Your information is stored securely through our registration system, provided by Cloudflare, Inc., on its global infrastructure (our document storage is located in North America). It is accessed by our organising team in the USA and by coordinators in India during the Yatra.

How long we keep it: All medical information will be permanently deleted — including any documents you upload — within 30 days after the Yatra ends, on or before March 23, 2027. The only exception is when a medical incident or insurance claim involves you; in that case we will keep only the records needed until the matter is resolved, and then delete them.

Your choices: You may ask to see, correct or delete your medical information at any time by writing to poth-team@googlegroups.com. If you ask us to delete it before the Yatra, please understand that our coordinators may be less able to help you in an emergency.

20.If you have a medical condition that needs approval from your doctor to travel, then please indicate below. *

If your answer is " Yes" to this question, then please send a copy of the doctor's approval to travel and participate in the Yatra to isvyatra@gmail.com. Your participation in the Yatra will be approved by the Yatra Committee and you may be required to have an adult (who is capable of taking care of you) accompany you in the Yatra.
